Google Calendar (Gcal) Integration

Available on Plus & Premier Subscription Tiers

If you have a Gmail email address or Google Workspace account, you can sync your SingleOps events — including assigned tasks and visits — directly to Google Calendar. This allows you to view your scheduled appointments and work orders from any phone, tablet, or browser.

How Google Calendar Works with SingleOps

The Google Calendar integration allows each user to link their personal Google Calendar so their assigned SingleOps events appear alongside their other commitments.

Key details:

  • Events sync one way, from SingleOps to Google Calendar only. Changes made in Google Calendar will not sync back to SingleOps.

  • Synced events display basic information, including the job number, job name, date, and time.

  • Note: Detailed visit information such as client address, phone number, assigned crew members, or job notes is not included in the synced calendar event at this time.

  • The SingleOps Calendar appears as a view-only calendar under "Other Calendars" in Google Calendar and cannot be shared with other Google users.

  • The email address associated with your SingleOps login must match the Google Calendar account you are linking.

  • Only events where you are listed as an Assignee will sync to your Google Calendar.

  • The integration displays events scheduled within the next 30 days. Events beyond that window will appear automatically as they fall within range.

Known Limitation

When a lead with a scheduled task is rejected in SingleOps, the task is removed from SingleOps but may not be automatically removed from Google Calendar. To avoid orphaned events, manually delete the task from the lead before rejecting it. This ensures the corresponding Google Calendar event is also removed. This behavior has been identified and is being tracked for a future resolution.

Setting Up the Integration

Prerequisites

  • Only an Admin who is listed as an Account Owner can enable the Google Calendar integration from Account Settings.

  • The Google Calendar integration is included with Plus and Premier subscriptions at no additional cost.

Linking Your Google Calendar

Each user must log in to SingleOps with their own credentials and link their Google Calendar individually. This ensures that only the tasks and visits assigned to that user appear on their personal calendar.

To link your account:

  1. Navigate to the Calendar page in SingleOps

  2. Click Link Google Account in the top-right corner

  3. Sign in to your Google Account when prompted. If you are already signed in, Google will ask you to confirm the correct account.

  4. Check your email for a validation message from Google.

  5. Click the Add this calendar link in the email.

  6. Click Add to complete the setup.

💡The SingleOps Calendar will appear under Other Calendars in Google Calendar. Repeat this process on each device (phone, tablet, etc.) where you use the Google Calendar app.

Troubleshooting: Calendar Not Appearing

If your SingleOps Calendar does not appear in Google Calendar after linking, follow these steps from Google Calendar Support:

  1. Open the Google Calendar app

  2. Tap Menu in the top-left corner

  3. Tap Settings

  4. Select the calendar that isn't showing. If it is not listed, tap Show more

  5. Confirm that Sync is toggled ON (blue)

⚠️ The Sync toggle is only available for calendars you have added — it does not appear for your primary calendar (typically labeled "Events"). It may take a few minutes for events to appear after enabling sync.

Availability

The Google Calendar integration is included at no additional cost with Plus and Premier SingleOps subscriptions.

This feature is not available on the Essential tier. If you are interested in accessing Google Calendar integration, please contact your SingleOps Customer Success Manager for information on upgrading your subscription.

Deactivating a Google Calendar Integration

To disconnect a user's Google Calendar integration:

  1. Navigate to the Calendar page in SingleOps

  2. Click Unlink Google Account in the top right

  3. Click OK to confirm

💡Admins can also deactivate a user's integration by marking them as inactive on the Users page. For users who are currently logged in, the Unlink Google Account button on the Calendar page can be used directly. For users who are not logged in, deactivate their integration by setting their account to inactive from the user profile.
