Setting Name Description & Additional Details
Name Your SingleOps Account Name
Inc Name Your Company Name as it appears on SingleOps documents, emails, etc.
SingleOps Email

For deliverability purposes, emails from SingleOps need to come from a singleops.com domain. Your emails will have the correct reply-to for the sending user, but for email clients that use 'from' instead of 'reply-to', your mail.singleops.com email will forward to your custom contact email address.

Customer Contact Email This email address is the backup for customer replies. If your customer emails the SingleOps email, the reply will be directed to the Customer Contact Email. Can be added to Document Templates as a general contact email address.
Doc Email Email address that will appear on SingleOps' documents.
Doc Phone Company primary phone number that will appear on SingleOps' documents.
Doc Fax Company primary fax number that will appear on SingleOps' documents.
Doc Website Display Clickable text that will appear on SingleOps' documents. The link will lead to URL in the 'Doc Website URL' below.

Attach Logo Upload your company logo that will appear on SingleOps' documents. PNG or JPEG required.
Attach Document Footer Images Upload your images that will appear on SingleOps' documents with footer images enabled. PNG or JPEG required. Typically used for certifications, BBB, etc. 
Use Percent Pricing

This is used for job costing.
If NOT checked, items on jobs will show a dollar markup.

Cost - $5
Markup - $10
Price - $15

If IS checked items on jobs will show a % margin.
Example:
Cost - $5
Margin - 10%
Price - $5.50

Account Owner Highest user permission in SingleOps. Account Owners have permission to add/remove SingleOps User licenses & update your SingleOps subscription payment method. These Users will also receive the weekly Account Summary email. 

 

Jobs

Setting Name Description & Additional Details
Require a job category?

Select yes to always require the user to select a job category when creating a new job.

SingleOps Recommendation: No

Only sync clients when also syncing an invoice?

Select yes to only sync new client information to QuickBooks when an invoice is also being synced for that client. Selecting yes will keep your QuickBooks file much cleaner.

SingleOps Recommendation: Review with your Quickbooks Admin.

Assign new tasks to user?

Select yes to auto-assign new tasks to the user creating them. You can create new tasks on jobs or directly onto the calendar.

SingleOps Recommendation: Yes if estimator is also taking in/scheduling leads. 

How many days before proposal expires?

Enter the number of days a proposal should stay active from the date that the proposal was last updated before it's automatically rejected. 

SingleOps Recommendation: This depends on the lifecycle of your work. For example, design build/installs will have a larger proposal window than maintenance. Estimators should be 

Assign new jobs to user? Select yes to auto-assign new jobs to the user creating them. 
Enable pickup jobs

Select yes if you have jobs where the customer comes to pickup at a single location, like retail sales. This will make entering these jobs easier and will remove them from the route planner.

SingleOps Recommendation: Yes if you have a retail space for customers to pickup orders. Typically Yes for sod and synthetic turf. 

Assign tasks to the last job created?

Select yes to auto-assign new tasks to the last job that was created by your user. This is helpful if you are using tasks for on-site sales visits and estimates.

SingleOps Recommendation: No

Require all jobs to be scheduled when created?

Select yes if you want to always require that the user schedules the job when it is first being entered into SingleOps. If this is 1, and you unschedule a visit via the route planner, the visit will still be scheduled on the previously selected day.

SingleOps Recommendation: No

Require 3rd party contacts for new jobs? Select yes if you want to always require that at least one 3rd party contact is assigned to new jobs. This only applies if there are contacts created for the customer selected for the job.
Enable support for 'Last Name, First Name'?

Select yes if you want to always enter customer names Last Name, First Name. SingleOps will automatically assign names based on this format.

SingleOps Recommendation: Review with your Quickbooks Admin prior to connecting Quickbooks. 

How many days until a lead is stale? We will remind you that this lead has not converted to a proposal after this many days. 
Line Item Identifier

Identifier on line items for job entry - None if no identifier should be included, Alphabetic or Numeric specifies which identifier format to use.

Does a job entry require a tax location? This will make the tax location dropdown a required field on job creation.
Default Job Name?

Select how job name should default when entering a new job. 'Client Billing' will default the job name using the client billing address, 'Visit Location' will default using the visit location address, 'Company Name' and 'Client Name' will use the client's company name or display name.

SingleOps Recommendation: Visit Location is the most common default job name. 

Should clients sign to accept proposal?

When clients are accepting the jobs themselves from the proposal page sent to them, should they be required to sign to accept? If not, they will just be required to confirm Terms and Conditions with a click.

SingleOps Recommendation: Yes

Require clients to type to sign proposal?

When clients sign a public proposal, should they be required to type in their signature?

Can users create taxed all-in jobs?

All-In Taxed Jobs don't pass along any sales tax to the customer, instead the sales tax cost is absorbed as lost revenue. (This option does not affect Quickbooks Online connected accounts).

Create a task with New Leads Should a task be created with new leads by default?
SingleOps Recommendation: Yes
Default Job Task Name What should the task created with the lead be named by default?
SingleOps Recommendation: On Site Estimate
Should the task created with lead be on site by default?

A task will be auto created on lead entry. Can be removed on a case by case basis.

SingleOps Recommendation: Yes

Use the job's name for shipping address 1 When syncing to Quickbooks, use the job's name for shipping address line 1 for invoices.
SingleOps Recommendation: Review with your Quickbooks Admin.
Autopay Enabled

This allows paying Invoices with a single click after the job has been approved, and also enables batch autopay. Only available for accounts on SingleOps Payments or OpenEdge.

Per Visit Status

If Completed is selected, any visit that is Completed or Approved will populate in the Autopay Invoices report. If Approved is selected, only visit that is Approved will populate in the Autopay Invoices report.

Payment Processed Email Template If a template is selected, the payment receipt will be sent to your customer when the auto payment is processed by a user in SingleOps.

Payment Failed Email Template If a template is selected, the payment receipt will be sent to your customer when the auto payment is processed then by a user in SingleOps, but the payment failed. 
SingleOps Recommendation: Autopay failed
EMV Point of Sale Enabled (Open Edge and SingleOps Payments accounts only)

This allows paying Invoices with the EMV Point of Sale interface. Requires a payment gateway to be configured. Requires SingleOps support, do not attempt to connect.

Track Last Service Date for Line Items

Track the last date a service was performed for a given line item, including the last date the line was performed on the job or renewed job. This is used to prevent applying a treatment too frequently.

SingleOps Recommendation: Yes. Especially for PHC, Fertilization, IPM, etc.

Hide line-level subcontracted flag?

Select yes if you'd like to hide the subcontracted flag on the line item level. Use this if you'd like to hide this detail from your operators and your item defaults are always correct.

SingleOps Recommendation: No

Require all jobs to have a sales rep when created?  
Hide unit costs and margins?

Select yes if you would like to hide unit costs and margins, displaying only prices. Selecting Jobs and Visits only will hide the unit costs and margins only on showing and editing of Jobs and Visits.

Enable Estimated Revenue Visits Entry? Select yes to allow the ability to manually enter an estimated number of revenue-generating visits on jobs using fixed invoicing. If a number is entered, SingleOps will calculate an estimated revenue for up to that many visits based on the total expected invoice price of the job.
Enable Proposal Groups

Select which job level custom inputs you want to be available for measurement data.

Amount of time represented by each column on the week view for resources (in hours)?  
Additional Information on Visits What additional information would you like to see for visits on the calendar?
On the route planner, instead of item-based icons, show the days since the last visit for the given job / job series.

The route planner icon displayed for a visit will show the number of days since the last visit.

SingleOps Recommendation: Yes. Especially for PHC, Fertilization, IPM, etc.

Show the estimated time on the my day and route page? Shows the estimated labor hours on the my day and route page. If no users are clocked in, SingleOps will display the total estimated labor hours. When a crew has clocked in, SingleOps will display crew hours (total labor hours divided by the number of labor resources on the crew).
Hide the scheduled time on the my day and route page?  
Automatically clock in/out and split open events?

Select yes to automatically clock out crew users at midnight, then clock back in at 12:01 the next day. This will also split any open events. This is typically enabled for snow crews that work overnight. 

SingleOps Recommendation: Yes if providing overnight snow services and using SingleOps timesheet.

Rescheduling Work Week This only applies to batch reschedule. Use this to specify which days of the week should be included when using the batch reschedule feature.
Display Holidays on Calendar

Select the region whose holidays you would like displayed on the Calendar.

Invoice

Who should we email when a customer accepts a proposal? These recipients will be automatically emailed a confirmation email when a customer digitally accepts one of your proposals. You can add multiple email addresses here, separated by commas or semicolons.
Who should we email when a customer pays an invoice via credit card?

These recipients will be automatically emailed a receipt confirmation whenever a customer pays an invoice. You can add multiple email addresses here, separated by commas or semicolons.

SingleOps Recommendation: Review with your Quickbooks Admin or Accountant. 

Who should we email when a new lead comes from the Customer Portal? These recipients will be automatically emailed a notification when a customer requests service via the Customer Portal. You can add multiple email addresses here, separated by commas or semicolons.
Send email only when customer pays an invoice via credit card? Select yes if you'd like to send a receipt confirmation to the recipients only when a customer pays an invoice via credit card.

 

Inventory

Restrict users from submitting jobs when there isn't enough inventory?

This feature requires inventory planning to be turned on. By selecting yes, users will be unable to create jobs unless there is sufficient inventory for that job on the scheduled date/s.

SingleOps Recommendation: No

Show Item Availability on job creation page?

Turning on this feature enables several beta features for material and equipment inventory. These features allow you to view future inventory levels based on scheduled sales and purchases.

Labor

Setting Name Description & Additional Details
Use timesheet / labor line entries for labor reports?

Select yes if you are using labor resources and you want the data from your timesheet entries (or manually entered labor line items) to populate the different actual labor values in labor reports. Select no if you are not using labor resources or if you'd rather have the actual labor data come from your line items with an item category of labor.

SingleOps Recommendation: Yes - Highly recommended if team is using timesheets.

Use start and stop times for Labor Resource Line Items

This allows you to input start and stop times when adding Labor Resource Line Items on Visit Completion. The quantity and total get automatically calculated based on the Labor Resource's rate. If this is turned off the quantity must be manually entered.

SingleOps Recommendation: Yes - Highly recommended if labor rates have been added. 

Use timesheet / labor line entries for labor costs?

Select yes if you are using labor resources and you want your timesheet entries to be used when calculating actual costs and margin. Select no if you are not using labor resources or you'd rather use your line items with an item category of labor for actual costs.

SingleOps Recommendation: Yes - Highly recommended if team is using timesheets.

 

Routing

Include capacities in the route planner?

Select yes if you have configured users to be included in the route planner and to have a set capacity for their routes. This feature will display on the route planner so that you can avoid overbooking your routes.

Require an operation filter before opening route planner Select yes if you would like to require the route planner to have an operation filter present before loading. This can make for shorter load times if your account has many operations. 

 

Tasks

Payments

Turn off ACH? Turning ACH off will hide all the ACH payment methods. This will not delete any saved ACH payment methods.
Bank Transfer Processing Fee

Enter the % fee you will add to all payments made via ACH. This is in reference to the processing fees you will charge your customers. 

Example - Enter 1.00 for a 1% fee

Bank Transfer Fee Cap

Enter the flat $ amount you'd like to cap the ACH fee. This ensures the fee will not exceed the amount entered.

This is in reference to the processing fees you will charge your customers.  

Example - Enter 10.00 for a cap of $10.

Credit Card Processing Fee

Enter the % fee you will add to all payments made via CC. This is in reference to the processing fees you will charge your customers. 

Example - Enter 2.90 for a 2.9% fee
