Batch Renew Recurring Jobs

The Batch Renew feature can be used to renew more than one recurring Job at a time. This is a useful tool for companies who offer the same recurring services to their Clients year after year. By batch renewing, the User saves the time & work needed to re-create each Job individually for the new year.

*Note: You cannot batch renew Jobs that have deactivated Items. Jobs are considered ineligible for duplication if Items or Item Groups used for the Job have been marked as inactive.

 

Batch Renew Jobs

  1. Navigate to any of the Jobs pages (Proposals, Active, Completed, Approved)
  2. Click More in the top right
  3. From the drop down, select Batch Renew Jobs
  4. Apply date range and desired filters.
    *Note: The date range will filter by Job End date. 
  5. Select the Jobs you would like to renew from the available results
  6. Select Batch Renew 
    1. Review Jobs Tab 
      By default the new Start Date and End Date will be 1 year after the current Start Date and End Date
    2. You can update the new Start Date and End Date as needed.
    3. Date Selection Method  Detail 
      Individually

      Apply a new Start and End Date per Job. 

      For All Jobs Apply new Start and End Date to all Jobs.

      Job Stage?

      Proposed - Renewed in Proposed Job Stage. Use if you send adjusted bids to be re-signed. 
      Active - Renewed in Active Job stage. Use if you do not need a new contract, but need to create the Job for upcoming year. 

      Adjust Cost by %

      Apply a percent increase to costs on the Job. Use if you have not updated Item Costs in settings. 
      Costs refer to direct costs of an Item to your business. 

      Reset Cost to Item Default  Apply Item Costs currently in settings. Use if you have updated Item Costs in settings.
      Costs refer to direct costs of an Item to your business. 
      Adjust Price by %

      Apply a percent increase to prices on the Job. Use if you have not updated Item Prices in settings. 
      Prices refer to price of an Item to charge your customer. 

      Reset Price to Item Default  Apply Item Prices currently in settings. Use if you have updated Item Prices in settings.
      Prices refer to price of an Item to charge your customer. 
      Round Unit Price to the Nearest Penny Use in tandem with Adjust Price by % to make sure your prices round to the nearest penny. 
      Restore Archived Visits Upon Renewal  Select to restore deleted Visits on the renewed Job. 
      Retain Visit Information (Assignee & Scheduling) Select for easier scheduling if crews and schedule will remain the same.
      *Note: Only assignee will be retained on On-Demand Jobs. 
  7. Select Confirm
  8. You will receive an e-mail notification once the process has been completed. 
    *Note: SingleOps will perform a background task & duplicate each Job with its new date range and adjustments; this can take several minutes. 
  9. Renewed Jobs will now be visible under the Proposals or Active Jobs page. Filter by Created Date or new Job Start Date to review.

Send Batch Renew Proposals to Customers

    1. Click the Bulk Actions button in the top right corner of the Proposals page
    2. From the dropdown, select Email
    3. In the Batch Email window, next to Template, select the Proposal Email template
    4. Review recipients and fill out the ret of the information as needed. When finished, click Send.

Batch Renew Proposal Groups

  1. Navigate to any of the Jobs pages (Proposals, Active, Completed, Approved)
  2. Click More in the top right
  3. From the drop down, select Batch Renew Jobs
  4. On the Batch Renew page click the Proposal Groups tab
  5. Apply date range and desired filters.
    *Note: The date range will filter by proposal date range (start date-end date). The full date range will need to be selected for the Proposal Group and included Jobs to appear. 
  6. Select the proposal groups you would like to renew from the available results.
  7. Select Batch Renew 
    1. Review Jobs Tab 
      Job dates can be viewed by expanding the proposal groups. By default the new start date and end date will be 1 year after the current start date and end date.

10. Renewed proposal groups will now be visible under the Proposals or Active Jobs page. Filter by Created Date or New Job Start Date to review.

 

Send Batch Renew Proposal Groups to Customers

    1. On the Proposals page, Filter Jobs
    2. Select All or check the boxes next to individual Jobs
      *Note: When you select All, you are only selecting the number of Show Entries on each page.
    3. Click the Bulk Actions button in the top right corner of the Proposals page
    4. From the dropdown, select Email
    5. In the Batch Email window, next to Template, select the Proposal Email template
    6. Review recipients and fill out the ret of the information as needed. When finished, click Send.
