Create a Recurring Maintenance Proposal

  1. Create Proposal 
  2. Add Details
    Customer, Job Name, Operation
  3. (Optional) Apply Customer Billing Schedule (CMB)
    Select
    CMB, or add new CMB
    Example: In April we had 4 visits at $50 each, and in May we had 3 visits at $50 each. The customer will have one invoice generated for April for a total of $200, and one invoice generated in May for $150.
  4. Add Location 
    Enter address in Visit Location field, address options will populate to select. 
    Note: If visit address is the same as the billing address, select 'Use Billable Location' to fill in address.
  5. Is this a one-off job or recurring?
    Select Recurring
  6. Add Start Date & End Date
    This will determine when the visit and invoice schedules start and end. Typically this will match your season.
    Example: We offer weekly mowing from April-September, so my Start date is April 1 and my end date is September 30.
  7. Do you invoice every visit or on a fixed schedule?
    Select Per Visit
  8. Visit Frequency
    Select Weekly, every X weeks, on X day of week
    Example: Visit is generated weekly, every 1 week, on Monday from start date to end date.
  9. How is this job estimated?
    Per visit

    This means work orders and invoices for each visit are generated with the same item(s). Use this when the same work will occur on each visit
    Example: Mowing happens on every visit. 
  10. Estimate
    Select +Add Item or +Add Item Group to add services, materials, labor etc.
    Actual Items/item groups marked 'Actual' will be visible to crews on work orders. Only costs (what a service costs your business) will be available.
    Billable Items/item groups marked 'Billable' will be visible to customers on proposals and invoices. Only prices (what you charge a customer) will be available. 
  11. Go to Map & Notes 
    Add Map pins, Property Measurements & Notes for customers and team. 
    (Optional) Select Recalculate Quantities if using production rates
  12. Additional Options
  13. Select Save & Close
